Certified commercial document translation

A commercial document is a private document that you use in import, export and international trade, such as an invoice, a packing slip or a certificate of origin. If you want to use such a document abroad, authorities and trading partners often ask for a sworn translationfor that purpose. What is a certified translation of a commercial document?

A sworn translation is produced by a translator registered in the Dutch Register of Sworn Interpreters and Translators (Rbtv). The translator provides the translation with a stamp, a signature and a statement that the translation is a faithful rendering of the original. This makes the translation legally valid and accepted by official authorities. For official use an ordinary or automated translation is commercial document not.

When do you need a sworn translation?

You have your commercial document translated under oath when you do business across borders and a foreign party or authority asks for an officially recognised translation. Think of an invoice, a packing slip or a certificate of origin for export and import. The sworn translator translates the content fully and accurately, so that the legal and commercial meaning is preserved.

What is a sworn translation of a document?

A sworn translation was created by a sworn translator and comes with the necessary stamps, a signature and a short statement that the document has been translated truthfully. The translator also confirms that he or she is registered in the Dutch Register of Sworn Interpreters and Translators. This makes the translation legally valid.

What are the rules for a sworn translation?

The sworn translator confirms that the translation is a faithful and accurate rendering of the original document or of a copy of it. The sworn translation carries the stamp and the signature of the translator. A sworn translator may also only certify his or her own translation.

How do you know whether a translator is sworn?

In the Netherlands the translator must be sworn in by a court and registered in the Dutch Register of Sworn Interpreters and Translators. You can look up a sworn translator via Bureau Wbtv. The translators we work with are all sworn, so that your commercial document receives an officially recognised translation.

Can ChatGPT translate a commercial document with legal validity?

No. A legally valid translation requires a signed statement of accuracy from a qualified, sworn translator. An AI tool cannot provide that in law. For official use you therefore have your commercial document translated by a sworn translator for you.

Does my translated commercial document need an apostille?

For use abroad an authority sometimes asks for an apostille. An apostille is issued by the court and is based on the Apostille Convention (The Hague Convention, 1961). We can provide your sworn translation with an apostille or legalisation if you wish.
