What is an employment certificate and when do you need a translation?
A certificate is a statement that your employer draws up about your role, duties and period of employment. In English this is called a certificate of employment. You need a translation when you apply for a job abroad, enrol in a foreign study programme or apply for a work permit. For a foreign employer or authority an ordinary translation is usually not enough, and a sworn translation is required.
Why a sworn translation?
A sworn translation is produced by a translator registered in the Dutch Register of Sworn Interpreters and Translators (Rbtv). The translator provides the translation with a stamp, a signature and a statement confirming that the translation matches the source document. This makes the translation legally valid and accepted by official authorities. If you want to use the document abroad, an apostille or legalisation needed. A apostille is issued by the court under the Apostille Convention (the Hague Convention of 1961).

How do you know whether a translator is sworn?
A sworn translator is registered in the Dutch Register of Sworn Interpreters and Translators (Rbtv). The translator has made a promise before the court and is authorised to translate official documents and similar records. You recognise a sworn translation by the stamp, the signature and the statement of the translator.
What is the difference between a regular and a certified translation?
An ordinary translation is a correct translation without legal status. A sworn translation comes with a stamp, signature and statement from a translator registered in the Rbtv, which makes it legally valid. For use at official authorities a sworn translation is needed.
How can I have a sworn translation legalised?
A sworn translation can be legalised by the court. The court checks the signature on the certification statement and confirms that it is the signature of the sworn translator in question. For use abroad the court often issues an apostille under the Apostille Convention.
Can an AI translation like ChatGPT translate my employment certificate?
An AI translation can help with everyday texts, but it does not produce a legally valid document. For a certificate that you use at an official authority, you need a sworn translation with a stamp from a sworn translator is required.
