Certified civil status document translation

Do you need a sworn translation of a document from the civil registryfor official use? What is a civil status document?

The civil registry records the important events in a person's life, such as a birth certificateand others, including a marriage certificate, a registered partnership certificate, a divorce certificate or a death certificate. In the Netherlands, these certificates and extracts are issued by the municipality where the event took place. If you use such a document abroad, or it comes from abroad, the receiving authority often asks for a translation by a sworn translator.

Why a certified translation with a stamp?

A sworn translation is produced by a translator registered in the Dutch Register of Sworn Interpreters and Translators (Rbtv). The translator attaches the translation to a copy of your source document and adds a stamp, signature and statement to it. This makes the translation legally valid and accepted by government authorities, courts and municipalities. For use in a country party to the Apostille Convention (The Hague Convention of 1961), you can also have your document fitted with an apostille through the court.

Which civil status certificates can I have translated?

You can have any document from the civil registry translated, such as a birth certificateor a marriage certificate, registered partnership certificate, divorce certificate or death certificate. You can also have an international extract translated under oath.

Do I also need to legalise my document or apply for an apostille?

That depends on the country where you use the document. For countries party to the Apostille Convention, an apostilleobtained through the court, is sufficient. For other countries, a more extensive legalisation procedure applies. We can provide your document with an apostille or legalisation if you wish.

Does Ecrivus need the original document?

No. A clear scan or photo of your document from the civil registry is sufficient for the sworn translationto be made. You upload the file with your order, for example as a PDF.

What does translating a civil status document cost?

Is the certified translation legally valid with the municipality and other authorities?
